If you run both Housecall Pro (HCP) and QuickBooks Online (QBO) for your HVAC, plumbing, or electrical business, there’s a good chance your revenue numbers don’t match between the two platforms. HCP shows one total. QBO shows something completely different. And you have no idea which one is right.
You’re not making a mistake. The integration between HCP and QBO is powerful, but it has a fundamental limitation most contractors don’t know about: it moves transactions from one platform to the other, but it doesn’t verify that those transactions land correctly.

The 3 Reasons Your HCP and QBO Don’t Match
1. Payment Sync Settings Are Configured Incorrectly
Inside your HCP and QBO integration settings, there’s a configuration for how payments get transferred. If it’s set to sync payments as individual transactions instead of as deposits, QuickBooks ends up with a flood of line items that don’t correspond to actual bank deposits. This creates duplicate entries and inflates your QBO revenue.
The fix: go into your HCP settings, find the QuickBooks integration section, and change the payment sync method from individual transactions to deposits.
2. Refunds Are Mapped to the Wrong Account
When a customer receives a refund in Housecall Pro, that refund doesn’t always map correctly to QuickBooks. In some configurations, refunds disappear from the books entirely. In others, they create negative entries in the wrong account — which distorts both your revenue and your expense totals.
The fix: review your refund mapping in the HCP-QBO integration settings and confirm refunds are posting to the correct income account.
3. Payments Are Sitting in Undeposited Funds
Undeposited Funds is a holding account inside QuickBooks. When payments come in from HCP, they can land in Undeposited Funds rather than being matched directly to a bank deposit. Until those transactions are cleared, your QBO balance won’t match your bank statement — and your revenue totals will be wrong.
The fix: go to your Chart of Accounts in QBO, find the Undeposited Funds account, and review any transactions sitting there. Match them to the corresponding bank deposits.
