What we do

We do three things for trades business owners — HVAC, plumbing, electrical, and handyman:

  • Bookkeeping — monthly books that are clean, accurate, and actually make sense to you
  • Financial coaching — helping you understand your numbers and use them to make better decisions about pricing, hiring, and planning
  • Housecall Pro + QuickBooks Online integration support — fixing the sync between your two platforms so your data matches and your books stop lying to you
Most bookkeepers just record what happened. We help you understand what it means — and what to do about it before the slow season hits.

We work specifically with trades business owners — HVAC, plumbing, electrical, handyman — who use Housecall Pro to run their business and QuickBooks Online for their accounting.

You don’t need to be a certain size. If you’re running 2 trucks or 8, if you’re the one still doing the jobs AND trying to run the business, you belong here.

The big financial firms are built for businesses already running at full speed. We’re built for the owner who’s still in the truck — and wants to get ahead of their numbers before they become a problem.
The slow season problem

The slow season isn’t a cash flow problem. It’s a pricing problem that shows up later.

Most trades owners price their jobs to cover what the job costs right now — labor, parts, overhead in the moment. But they’re not building in what it costs to keep the lights on and the employees paid in January and February when the phone goes quiet.

Every estimate you send during peak season should have a piece of the slow season built into it. That’s the math most owners are missing — and nobody ever showed them how to do it.

We help you find your real break-even number, build the off-season into your pricing, and set aside the right amount during peak months so it’s actually there when you need it.

Being busy is great. But busy doesn’t always mean profitable — and it definitely doesn’t protect you from a slow February.

Some of the most overbooked trades owners we’ve worked with were taking home less than their lowest-paid employee. Not because they weren’t working hard — but because they were pricing for revenue, not for profit.

If you can’t confidently answer “what do I need to charge on every job to cover my costs, pay myself, and survive three slow months?” — then the busy season is masking a problem that will show up eventually.

We help you fix that before it does.

Housecall Pro + QuickBooks

It’s common. It’s not normal — and it’s costing you.

The integration between Housecall Pro and QuickBooks Online is powerful in theory, but the native sync only moves transactions. It doesn’t guarantee your books are accurate. Most HCP users end up with double-counted revenue, missing expenses, invoices that show paid in one place and open in another, and a P&L that doesn’t reflect reality.

If you’ve ever looked at your financial reports and thought “that can’t be right” — the integration is usually why. And it’s fixable.

We specialize in cleaning up the sync, building the right reconciliation process, and making sure your HCP data and your QuickBooks books are actually telling the same story.

HCP Accounting is a legitimate option — if you’re ready to replace QuickBooks entirely and let HCP manage everything in one platform.

But here’s what their own documentation says: when you sign up for HCP Accounting, it becomes your new accounting software. That means leaving QuickBooks behind.

  • If you have an accountant or CPA who knows your QBO setup, switching means starting over with them
  • Your financial history lives inside HCP’s platform — if you ever leave, you take your data with you but rebuild your processes from scratch
  • HCP Accounting does your books. It doesn’t teach you how to price, explain your numbers to you, or help you plan for the slow season
We help you keep both platforms, fix the sync between them, and add the financial coaching piece that no bookkeeping service alone provides. Your data stays yours, your QBO stays intact, and you actually understand what your numbers mean.
How we’re different

A regular bookkeeper records what happened. That’s important — but it’s the floor, not the ceiling.

We’re built specifically for trades businesses, which means we understand things a general bookkeeper doesn’t:

  • How Housecall Pro and QuickBooks interact — and where the data breaks down
  • How seasonal revenue patterns affect your cash position and what to do about it
  • How to help you set prices that actually keep the doors open year-round, not just in peak season
We also add financial coaching — helping you read your reports, understand what the numbers mean for your business, and make decisions with confidence. Most bookkeepers hand you a P&L and walk away. We stay and explain what it’s telling you.

And because we’re not a large firm, you know exactly who you’re working with. No account managers, no rotating staff. Just someone who knows your business.

That’s a fair concern, and we hear it a lot. Here’s usually what happened: you worked with someone who knew bookkeeping, but didn’t know the trades. They could reconcile a bank statement, but they didn’t understand job costing, seasonal cash swings, or why your HCP data doesn’t match your QBO reports.

The result is clean-looking books that don’t actually help you run the business better.

We’re not a general bookkeeping service that happens to take trades clients. This is all we do. We know the software you run on, we know the seasonal rhythms of your work, and we know the financial questions that actually matter to someone managing a crew and keeping a business alive year-round.

If you’ve been burned before, we’d rather earn your trust with a low-stakes conversation first. That’s exactly what our free Clarity Call is for.

Getting started

We built our process around the reality that you’re busy. You’re not in an office. You’re on job sites, in your truck, dealing with customers and crews.

Once we’re set up, most clients spend 15–30 minutes a month with us — reviewing their numbers, answering a question here or there, and making sure nothing needs their attention. The rest we handle.

The goal is to take something off your plate entirely — not add to it. If you’re currently spending hours confused by your books, or not looking at them at all because they don’t make sense, that changes immediately.

No. Messy books are the most common starting point — not the exception. We’ve seen it all: uncategorized transactions going back years, HCP and QBO completely out of sync, P&Ls that don’t match bank statements, and businesses that have never had a proper reconciliation done.

We offer catch-up bookkeeping to get your books into shape before we take over ongoing. We start with a clear picture of where things stand, fix what needs fixing, and build from there.

Starting when things are messy actually gives us more to work with — because once the books are clean, you’ll be able to see parts of your business you’ve never been able to see clearly before.

Start with our free Clarity Call. It’s a 20–30 minute conversation where we look at where things stand — your books, your pricing, your HCP sync — and tell you honestly what needs attention first.

  • Your current pricing model — are you building the slow season into your estimates?
  • Your HCP + QBO sync status — where is the data breaking down?
  • Your cash flow pattern — are you set up to survive the shoulder months?

You walk away with at least one concrete thing you can fix immediately. No pitch during the call. If it makes sense to keep working together, we’ll talk about that afterward.

No commitment, no obligation. Just an honest look at your numbers. If it’s not a fit, you still leave with something useful.
