3 Reasons Your HCP Invoice Numbers Are Out of Sync With QuickBooks
And why the fix isn’t as simple as it looks
If you’ve noticed duplicate invoice numbers, payments that won’t match to an invoice, or jobs that just never made it into QuickBooks, you’re not imagining it — and you’re not alone. This is one of the most common issues we see when auditing Housecall Pro + QuickBooks Online setups for HVAC, plumbing, and electrical contractors. Here are the three root causes, in order of how often we actually find them.
1. Job Numbers and Invoice Numbers Are Two Different Things
Housecall Pro assigns a job number when work is scheduled. QuickBooks Online assigns its own invoice number when the invoice is created. By default, these are two separate numbering systems running side by side — so what you see on a customer’s paperwork in HCP may not match what shows up in QBO at all.
2. Progress Invoicing Breaks Number Matching By Design
If you use progress invoicing (billing a job in stages — deposit, rough-in, final, etc.), one job produces multiple invoices. QuickBooks can’t assign the same invoice number to more than one invoice, so the moment job-number matching is turned on for a business using progress billing, you get conflicts — especially if any past invoices already share a number with a new one coming through.
3. The Fix Touches History, Not Just What’s New
Toggling sync settings doesn’t just change how future jobs sync — it can interact with invoices that were already pushed from HCP to QBO. Depending on your setup, that risk includes duplicate invoice numbers colliding with existing prior-year invoices, payments detaching from the invoices they were applied to, and unlinked payments piling up in Undeposited Funds until your cash position in QuickBooks quietly stops reflecting reality.
